Applications are invited for 2 HR Operations Administrators, for this exciting and busy role, where prioritizing your workload is imperative.

The HR Operations team provide a high-quality operational service to support the employee lifecycle and first-class customer service across a range of College communities. The function includes the management and administration of employment contracts, probation, appraisal, payroll, sickness absence, pension and statutory returns. The team own the development and management of the HR/Payroll System (iTrent) to ensure accurate employment records, establishment control and the reporting of people analytics. The team manage the engagement and payment of Visiting Lecturers and Casual Workers. 

The HR Operations Administrators provide first-line support and guidance for staff and managers on a range of HR issues, ensuring a professional and efficient administrative service across all areas of HR operations and the full employee lifecycle.   Ensuring accuracy and confidentiality at all times.

You will use your excellent customer service, interpersonal and communications skills, gained in a similar environment to engage effectively across all levels of the College, including students, staff and external suppliers.

The Key responsibilities are:

Accurate and timely processing of payroll information to the College’s outsourced payroll provider, liaising with Finance colleagues as appropriate. 

Administer timely updates to employee records and systems including contract changes and leaver processes - formally confirming changes, resignations, retirements, cessation of fixed term contracts, organising exit interviews etc. Undertake regular filing of employee records and HR documents in paper or electronic files.  

Act as first point of contact for employee enquiries via HR InBox, providing the highest level of customer service and professionalism. 

Develop and maintain an understanding of the College’s HR policies and procedures, provide first-line support and guidance for staff and line managers on routine HR matters including staff probation and appraisal, annual leave, sickness reporting, pay and benefits, parental leave etc referring more complex queries to HR colleagues in the various specialisms. 

Provide pensions administration support including producing monthly auto-enrolment letters, and preparing joiner, leaver, and contribution reports. 

Take notes at disciplinary, grievance and capability review meetings.
